Flexible Transcription Technology

Almost any device that can record digital audio can be interfaced with the
Sten-Tel®, Inc. system and serve as a dictation acquisition source.
The flexibility of the system allows the telephone, digital recording devices, personal digital assistants or PDA's , and even the PC to be used. Existing enterprise dictation systems such as Dictaphone, DVI and Lanier can also be interfaced with the
Sten-Tel®, Inc. system, allowing automated transfer.
In the instance of portable digital devices, such as digital recorders or PDA's
Sten-Tel® can provide PC compatible transfer and management software which allows voice data to be transferred from the device, to the PC and then securely uploaded to the
Sten-Tel®, Inc. system via the Internet.
How the Sten-Tel®, Inc. System Works
It is at the time of transfer to the
Sten-Tel®, Inc. system that demographic information can be created which will accompany the voice data through processing. This demographic information is either entered via the telephone, in response to prompts from the transfer application software, or can be extracted from an existing voice dictation system or an HL7 ADT feed.
The
Sten-Tel®, Inc. system controls access to transcription data via various user types, such as dictators, transcriptionists, editors and couriers, all of whom may be defined at a company, department and dictator level. Each user type of the
Sten-Tel®, Inc. system is assigned corresponding permissions, which enforce referential security throughout the processing phase.
Upon arrival in the
Sten-Tel®, Inc. system, demographic information from the acquisition process is attached with voice data and the combination of voice and demographic data is assigned a unique job number. The
Sten-Tel®, Inc. system optionally allows this demographic information to be integrated with the transcription workflow and document process.

Using a secured connection to the
Sten-Tel®, Inc. system via the Internet, any one of the system users can login and check the status of any job currently being processed.
Typically, "jobs" made of the combination of voice and demographic data are made available to the transcriptionist. With definable limits and quotas, an assigned transcriptionist will download the job via the
Sten-Tel®, Inc. Web site. Pre-defined templates can accompany the job, which allows flexible and customized formatting that suite the needs of the particular dictator, company or transcription field.
As part of the suite of transcription processing tools,
Sten-Tel®, Inc. provides a number of software applications that assist in the playback of digital voice data on a PC, enabling transcriptionists to work anywhere they have a connection to the Internet and the appropriate hardware.
When the transcriptionist finishes transcribing the voice data, the document is uploaded by a secure connection through the
Sten-Tel®, Inc. Web site. Depending on the pre-defined parameters set up for the particular dictator and transcriptionist, the job and attached document may either go through a quality control process where it will be reviewed by an editor or instead be directly marked as now available for delivery or be forwarded to the electronic signature process.
Electronic Signatures
Sten-Tel®, Inc. also optionally provides the enhanced security of electronic signatures to confirm and track transcription documents. Utilizing electronic signatures helps to ensure HIPAA compliance for the medical transcription industry and provides an audit trail, which can be retained for security purposes. Sten-Tel®, Inc.'s integrated electronic signature leads the ASP market.

Integrated transcription delivery allows documents and data to be transferred to remote networks or systems via network connection, VPN or RAS connection. Additional capabilities include HL7 messaging, integration to most common health information systems and even incorporation to desktop and mobile devices through customized interfaces.
Interfacing
Sten-Tel®, Inc. can interface the transcription workflow with most major systems, including but not limited to GE, Siemens, Cerner, Vianetta, Dictaphone, eScription, A4, Meditech, Softmed and many other EMR and HIM systems. While the
Sten-Tel®, Inc. platform is capable of working with many dissimilar systems,
Sten-Tel®, Inc. can also provide technical expertise to the transcription healthcare industry in general. This means that whether or not you are a subscriber of the
